In this video, I'm going to show you how a small nonprofit team can use AI to draft a grant report in minutes instead of hours without losing your tone or accuracy.

So let's set the scene.

Imagine you run an after school program at a small nonprofit.

You've just wrapped up a grant period, and your funder wants an update.

They're looking for how many students you served, what attendance looked like, and a few clear examples of impact.

Normally, someone on your development or programs team would dig through spreadsheets, notes, and emails and then stare at a blank page for way too long.

Instead, we're going to have AI create a first draft and then we'll edit it.

So on my screen, you'll see I've got three things open.

First, an attendance export from our student database.

Second, a short bullet list of outcomes and key wins from the program's lead.

And third, last year's approved grant report from the same funder so the AI can see the tone and structure they liked.

And And as a disclaimer, all this data is actually just sample data generated by AI.

And I'm actually on the free plan, but I recommend recommend you being on a teams plan if you're a nonprofit, just so you have more control on, how how data is used that you're putting into AI and higher usage limits.

But just for the purposes of this video, I wanted a fresh account to demo demo from.

But now I'm going to paste a prompt into Claude.

So in under a minute, I've got a draft that's maybe 70 to 80% of the way there.

Not perfect, but way better than a blank page.

and this and this is where the humans come back into the work.

I'm going to check every number against the original spreadsheet that I have.

I'm going to tighten or rewrite any sentences that feel off or too much like AI.

And I am going to add, one or two specific stories about students students or families in my own words and make sure we're not over claiming impact or misrepresenting anything.

The rule here is simple.

And by the time I'm done, I've spent maybe 20 to 30 minutes instead of two or three hours.

For a small team, that time really adds up.

If you save one or two hours on every big report and major donor update, that is time you can allocate to building relationships with funders, talking with program staff and participants, or planning your next campaign or program expansion.
